Bespoke Stock Management
Stock control set up around how you store and move your stock.
What it does
See what you have, where it is and when you need to reorder. It can handle more than one site, product variants, batches or anything else your stock involves.
Typically includes
- Stock across several locations and variants
- Goods in, picking and transfers
- Reorder levels and purchase orders
- Barcode scanning and stock takes
Works with what you already use
Stock figures are only useful if everything that sells or moves stock updates them. We connect the system to the tools you already use, so the numbers stay right without anyone keying them in.
- Your online shop, so stock goes down as orders come in
- Your accounting software, for purchase orders and invoices
- Barcode scanners, for goods in, picking and stock takes
- Your suppliers, with purchase orders sent by email
Where it helps
Some of the problems this kind of system is built to solve.
- You can't be sure what's in stock without going and checking
- Stock is held in more than one place and the numbers never quite match
- Items run out because nobody spotted they were running low
- Stock takes take days, and the results end up in a spreadsheet
Who it's for
Some of the businesses this kind of system suits. We build for any type of business, so if yours isn't here, tell us how it works.
- Retail
- Shops selling in store and online, where every sale needs to come off the same stock figures.
- Manufacturing
- Raw materials, parts and finished goods, with materials taken off stock as they are used in production.
- Logistics
- Warehouses handling goods in, picking and dispatch, often across more than one location.
- Hospitality
- Food, drink and supplies across one or more sites, with reorder levels so nothing runs out mid-service.
How we work
We handle every stage, from the first conversation to looking after the system once it's up and running.
Every system is designed, built and supported by Tom Brookson, drawing on more than 10 years of building software for businesses of all sizes.More about us
01Scope
We find out how your business works, talk to the people who'll use the system, and agree with you what it needs to do.
02Design
We plan the screens and workflows with you, so you can see how it will work and ask for changes before we start building.
03Build
We build the system in stages and show you each part as it is ready, so you can give feedback along the way.
04Support
Once the system is in use, we look after it, fix any problems and add to it as your needs change.
Common questions
Can we use barcode scanners?
Yes. With bespoke stock management software, staff can scan items as goods come in, get picked or move between locations, and the stock levels update straight away. Scanning also makes stock takes much quicker, because counts go straight into the system instead of onto paper and then into a spreadsheet.
How does stock stay accurate across several locations?
Every movement is recorded against a location: goods arriving, items being picked, and transfers between sites, shops or warehouses. The system always knows how much is where, so you can see stock for one location or for the whole business, and spot differences quickly when a count does not match.
Can it link to our online shop or accounting software?
Usually, yes. Stock levels can go down as orders come in from your online shop, so you stop selling things you no longer have. Purchase orders and supplier invoices can go through to your accounting software, so your stock figures and your accounts agree without anyone copying numbers between them.
Can it track batches or expiry dates?
Yes. If your stock needs batch numbers, serial numbers or expiry dates, the system records them as goods come in and follows them as items move and sell. That means you can find every item from a particular batch, use older stock first, and see what is close to its expiry date.
Can we bring our existing stock figures across?
Yes. We import your current products, locations and stock levels from spreadsheets or the software you use now, and check them with you before the system goes live. Many businesses also do a stock take at the changeover, so the new stock management system starts with figures everyone trusts.
How much does bespoke software cost?
It depends mainly on how much the system needs to do: the number of screens and workflows, how many types of user it has, which other systems it connects to, and whether existing data needs moving across. We price each project individually and, after an initial conversation, send a proposal setting out what you'll get and what it will cost.
