Bespoke Booking Systems
Booking systems for businesses that take appointments, bookings or reservations.
What it does
We build booking systems that follow your rules, from simple online booking to more involved setups, such as booking a room and a member of staff together, taking deposits or limiting numbers.
Typically includes
- Online booking for customers
- Scheduling for staff, rooms and equipment
- Deposits, payments and cancellations
- Confirmation and reminder emails
Works with what you already use
A booking system rarely works on its own. We connect it to the tools you already use, so bookings, payments and customer details move between them without anyone copying them across.
- Card payments and deposits, through a payment provider
- Staff calendars, such as Google Calendar or Outlook
- Your accounting software, so payments are recorded
- Your website, so customers can book from your existing pages
Where it helps
Some of the problems this kind of system is built to solve.
- Your booking tool can't handle your rules, such as booking a room and a member of staff together
- Bookings arrive by phone, email and message, and are entered by hand
- No-shows and late cancellations are costing you money
- You're paying for a booking platform but still working around it
Who it's for
Some of the businesses this kind of system suits. We build for any type of business, so if yours isn't here, tell us how it works.
- Healthcare
- Clinics and practitioners taking appointments, where each booking needs the right person, room and length of time.
- Hospitality
- Tables, rooms and events, with deposits, limits on numbers and reminders to cut down on no-shows.
- Professional services
- Consultations and meetings booked straight into the right person's diary, with the details you need collected up front.
- Trades
- Customers booking visits or call-outs in slots that fit around your team's travel and working hours.
How we work
We handle every stage, from the first conversation to looking after the system once it's up and running.
Every system is designed, built and supported by Tom Brookson, drawing on more than 10 years of building software for businesses of all sizes.More about us
01Scope
We find out how your business works, talk to the people who'll use the system, and agree with you what it needs to do.
02Design
We plan the screens and workflows with you, so you can see how it will work and ask for changes before we start building.
03Build
We build the system in stages and show you each part as it is ready, so you can give feedback along the way.
04Support
Once the system is in use, we look after it, fix any problems and add to it as your needs change.
Common questions
Can customers book online themselves?
Yes. A bespoke booking system lets customers see what's available and book, pay or cancel online at any time of day. It follows the rules you set, such as how far ahead people can book, how much notice they must give to cancel, and which staff, rooms or equipment each booking needs.
Can it take payments and deposits?
Yes. We connect the booking system to a payment provider, so customers can pay in full or leave a deposit when they book. You decide the rules, such as which bookings need a deposit, how much it is, and whether it's refunded when someone cancels with enough notice.
Can bookings appear in our calendars?
Usually, yes. Bookings can be added to staff calendars, such as Google Calendar or Outlook, as soon as they're made, so everyone can see their day without logging in to another system. Changes and cancellations update the calendar too, so nobody turns up for a booking that has moved.
Can we move away from the booking platform we use now?
Yes. We bring your existing bookings and customer details across from your current booking platform, so you keep your history when you switch. We plan the move with you, so bookings already made carry on as normal and customers can keep booking while the new booking system takes over.
How much does bespoke software cost?
It depends mainly on how much the system needs to do: the number of screens and workflows, how many types of user it has, which other systems it connects to, and whether existing data needs moving across. We price each project individually and, after an initial conversation, send a proposal setting out what you'll get and what it will cost.
