Business Automation and Integrations

Connect the software you already use and automate the repetitive work in between.

What it does

A lot of time goes on typing the same information into two systems, chasing paperwork and putting together the same reports each week. Without replacing anything, we connect the software you already use and automate that work.

Typically includes

  • Connecting your existing software
  • Automating repetitive admin
  • Producing documents and paperwork automatically
  • Scheduled reports and alerts

Works with what you already use

Most admin happens in the gaps between systems. We connect the tools you already use so information moves between them on its own, and the paperwork produces itself.

  • Your accounting software, for invoices, payments and customers
  • Your online shop or booking system, so orders and bookings flow through
  • Email, for reminders, alerts and documents sent automatically
  • Your own templates, for quotes, invoices, certificates and reports

Where it helps

Some of the problems this kind of system is built to solve.

  • Staff type the same information into two or more systems
  • Quotes, invoices or certificates are put together by hand
  • The same report is built from scratch every week or month
  • Your software doesn't share information, so things get missed

Who it's for

Some of the businesses this kind of system suits. We build for any type of business, so if yours isn't here, tell us how it works.

How we work

We handle every stage, from the first conversation to looking after the system once it's up and running.

Every system is designed, built and supported by Tom Brookson, drawing on more than 10 years of building software for businesses of all sizes.More about us

  1. 01Scope

We find out how your business works, talk to the people who'll use the system, and agree with you what it needs to do.

  2. 02Design

We plan the screens and workflows with you, so you can see how it will work and ask for changes before we start building.

  3. 03Build

We build the system in stages and show you each part as it is ready, so you can give feedback along the way.

  4. 04Support

Once the system is in use, we look after it, fix any problems and add to it as your needs change.

Common questions

Do we have to replace the software we already use?

Not usually. Automation often works best alongside the tools you already have. We connect them so information moves between them automatically, and only replace something if it's genuinely holding you back. Your team keeps using the software they know, without the copying and re-typing in between.

What kinds of tasks can be automated?

Anything repetitive that follows the same steps each time. Common examples are copying order details into your accounts, sending payment or renewal reminders, producing quotes, invoices or certificates from your own templates, and building the same weekly or monthly report. If someone does it the same way every time, it can usually be automated.

Where do we start?

We start by looking at where your team spends the most time on repetitive work, and what goes wrong when things are missed. Then we automate the task that will save the most effort first, so you see the benefit quickly, and build on it one step at a time rather than changing everything at once.

What if our software doesn't connect to anything?

Most business software can share information in some way, usually through a connection its makers provide for this, called an API. Where there isn't one, automation can often use exports, imports or email instead. We check what your software supports while scoping the work, before you commit to anything.

How much does bespoke software cost?

It depends mainly on how much the system needs to do: the number of screens and workflows, how many types of user it has, which other systems it connects to, and whether existing data needs moving across. We price each project individually and, after an initial conversation, send a proposal setting out what you'll get and what it will cost.
